A new opportunity has arisen for an Team Leader Secretary role to lead our client’s secretary team. The role requires first class organisational and interpersonal skills with the proven ability to build a wide range of relationships and deliver a high-quality administration service.

What will be your responsibilities as Team Leader Secretary?

 You will act as the primary point of contact for project members, the customer, and relevant stakeholders at the project office. Organize, coordinate and carry out secretarial, administrative and organisational tasks in line with business needs of the project and relevant internal and external stakeholders.

A Day in the Life of the Team Leader Secretary might look something like this:

  • Support the project operations in by managing the secretary office smoothly and efficiently;
  • Maintains office services by organizing office operations and procedures, preparing project correspondence & administration, designing and maintaining filing systems, reviewing and approving supply requisitions;
  • Designs and implements office policies by establishing standards and procedures;
  • Keeps project management informed by the day by day running of the office;
  • Organise, prepare and follow up meetings, organise meeting files and provide adequate reporting;
  • Prepare and manage correspondence (e.g. e-mails, letters and reports) and handle calls in line with internal regulations;
  • Prepare, organise, oversee and/or coordinate the organisation of (social) events, ensure all logistical (event) matters, host (international) participants and coordinate the course of the events.

What do we require?

  • Bachelor's degree;
  • Minimum of 5 years of work experience in an office management role;
  • Proficient in MS Office and general “back-office” software;
  • Good knowledge of German and English language.
